Information we use
We process your name, email, phone number, state, country, programme preferences, account role, purchases and payment references, learning activity, questions, messages and voice notes, group participation and presence, instructor applications, uploaded teaching materials, ratings and agreement records. We also store optional parent/guardian WhatsApp numbers, intended university courses, course diagnostics, lesson progress and verified instructor payout-bank details. Security records include sign-in attempts and network identifiers. Paystack collects payment credentials; we do not store your full payment-card details.
Usage analytics
We use Microsoft Clarity to understand clicks, scrolling and masked page activity on public, student and instructor pages. Admin, organisational and CRM areas are excluded. Private workspace text, account forms, chat and other sensitive content are masked; sensitive URL parameters are removed before tracking. Tracking uses cookieless mode by default and respects previously saved analytics opt-outs. Advertising storage is denied.
Offline learning
Students may save approved videos using the academy’s Save for offline feature for personal viewing within Reflection Academy on that device. Saved access ends with the applicable course access and requires an online check at least every 30 days. Signing out removes saved copies. Offline access does not permit extracting, sharing, reselling or using lecture videos outside the academy.
Google Analytics
We use Google Analytics 4 across website pages, including organisation workspaces, to understand visits, navigation and campaign performance. We filter personal contact details and payment or sign-in tokens from reported URLs. We do not send form entries, messages, bank details or names as custom analytics data. Existing analytics opt-outs are honoured. Without a saved analytics permission, analytics storage is denied and Google may receive cookieless measurements; advertising storage and personalisation are denied.
Referrals and university preferences
Referral attribution is retained when a new student registers through a referral link. Student referrers earn ₦2,000 once after that new student’s first verified payment, excluding self-referrals and renewals. Authorised staff can review referral reward and payout records. Intended university courses are stored privately to personalise learning and help plan post-admission course suggestions; marketing follow-up still requires your separate marketing choice. New instructor purchases pay 30% of allocated subject tuition normally or 70% when their own referral buys a subject they teach. Existing purchase and renewal snapshots retain their agreed rates.
Why we use it
We use account and learning data to deliver your chosen services and manage our agreement with you; security and operational records support fraud prevention and safe operation; records may be retained to meet legal obligations. Optional marketing uses your separate choice and can be withdrawn without losing course access. Privacy acknowledgement is not blanket consent to unrelated processing.
Who can see it
Assigned course instructors can see relevant class participation and student conversations. Study-group members can see your name, group posts and online presence. Authorised academy staff handle support, approvals, finance and CRM. We use Cloudflare and Sites infrastructure for hosting and storage, Brevo for email, Paystack for payments and Groq for the AI assistant. Messages you send to the AI assistant are processed by its provider; do not include sensitive personal information. Suppliers may process information outside Nigeria; applicable transfer safeguards must be maintained. We do not sell your personal information.
Instructor matching and ratings
Automatic matching ranks eligible instructors by their average verified purchaser rating, then rating count, then a stable tie-break. It does not use your sensitive characteristics. You can select an instructor yourself before paying. Public ratings are aggregated; your private payment details are not displayed.
Retention and your choices
We retain service data while needed for your account, paid access, support, legal obligations and disputes, then delete or anonymise it when no longer necessary. Sign-in codes expire after 10 minutes; sessions expire after seven days. An expired code or session is not a promise that its security record is immediately erased. Contact us for access, correction, deletion, portability, restriction or objection, and to withdraw consent where processing depends on it. Some financial, security and agreement records may need to be retained. You may complain to the Nigeria Data Protection Commission at ndpc.gov.ng.
Children, cookies and changes
Learners under 18 should use the service with a parent or legal guardian who reviews and accepts the agreement with them. Contact us to resolve a child-data concern. Essential cookies maintain sign-in; local browser storage supports preferences and attribution. Non-essential marketing choices remain optional. We record the version and time of agreement acceptance and will publish material policy changes here.
